Supervisor: Rector (The Rev Dr Matt Wilcoxen)


Hours: 38.6 hours (5 days/pw, 1.0 FTE), M-Th 9am-5pm, Sun (9am-12pm, 4pm-7pm), some flexibility in working arrangements is negotiable.


Remuneration: $66,000/annum + superannuation


The Parish Administrator furthers the life and ministry of St John’s by developing, maintaining, and overseeing essential administrative systems for the church.

ESSENTIAL ROLES AND RESPONSIBILITIES


Communications



  • Oversee the comprehensive communications strategy for the church.

  • Coordinate church communications (website, email, social media, print media, signage) using images, stories and information to further the mission of the church.

  • Ensure that sermons, retreat messages, and other teachings are recorded and made easily available to the congregation and the public.

  • Respond quickly and thoughtfully to all general inquiries that come via email or phone.


Sunday Services



  • Attendance at both the 10am and 5pm services as service coordinator, assisting clergy, staff, and volunteers.

  • Maintain the information and contact management systems of the church (Elvanto), including teaching other staff and volunteers how to make the most of it.

  • Coordinate processes for transitioning visitors into faithful, regular participants and connecting them with community life and volunteer opportunities.

  • Support and coordinate volunteers for Sunday services, including creating quarterly rosters and sending reminders.

  • Attend and participate in weekly staff meeting and other staff planning activities, keeping the staff equipped and informed on systems, calendar, logistics and operations.

  • Maintain and update an employee handbook and policy manual for office operations.


General Administration



  • Update 10am and 5pm service bulletins each week and print;

  • Update 10am and 5pm slides each week;

  • Oversee the parish calendar, assisting staff, volunteers, and outside groups with scheduling.

  • Maintain accurate records of Sunday attendance, parish membership, worship services, baptisms, weddings, funerals, and other significant milestones in the church.

  • Ensure that necessary supplies are kept in stock at our office and worship space.

  • Respond to enquiries from 3rd parties about booking the church (e.g., for weddings or funerals), providing quotes and managing the booking and billing processes.

  • Supervise the Sexton (janitor/groundskeeper) to ensure that St John’s facilities are being cleaned and maintained adequately.

  • Liaise with contractors or tradespeople who are providing maintenance, repairs, or inspections for St John’s facilities.

  • Maintain risk and incident report systems, ensuring timely communication of WHS risks and incidents to the wardens.

  • Any other reasonable administration to ensure safe and efficient functioning of St John’s facilities.


Financial & HR Administration



  • Be the primary point of contact with our accountancy providers (Benkorp) on accounts payable and accounts receivable.

  • Ensure that the proper and up-to-date church staff financial forms and documents are provided to Benkorp in a timely manner.

  • Use Xero regularly to stay on top of incoming and outgoing payments, ensuring that things are coded accurately.

  • Assist the rector and the wardens in preparing the annual budget each year.

  • Any other reasonable administration to ensure safe and efficient functioning of St John’s finances.


Miscellaneous



  • Other reasonable administrative tasks assigned by the rector or wardens.
