Admin Assistant

St Mary’s Villa is a high-quality residential aged care facility operated by St Mary’s Catholic Parish at Concord.

We are looking for an Admin Assistant to join the team at St Mary’s Villa. The Admin Assistant will be responsible for the delivery of high-quality administrative services to the team, residents and relatives at St Mary’s Villa. The primary focus of the position is to ensure information, coordination and operational processes support excellent care and services delivery.

This role will be a part-time role working our weekend shifts on Friday – Sunday. The expectation is to be available for weekend shifts and to have flexibility to cover the occasion shift during the week.

Responsibilities:

• Welcome visitors to St Mary’s Villa and answer queries/re-direct guests
• Distribute any Villa communication to relevant team members, residents, and families
• Send weekly admission, discharge, and leave report to our Accounts Administrator
• Regular data entry on admissions with internal systems
• Notify team of new admission and liaise with DON and Lifestyle team for orientation
• Send information to prospective residents
• Act as a point of contact for potential residents
• Check stationary requests / needs and order

Qualifications, skills and experience:

• Excellent written and verbal communication skills
• High level of computer literacy
• Excellent customer service experience
• Experience in office administration
• Empathy and Emotional Intelligence
• Demonstrated commitment to Christian Values
• Willingness to support and promote residents autonomy, rights and personhood

Mandatory Requirements for all candidates:

• Fully vaccinated with COVID-19
• Proof of the right to work lawfully in Australia
• Valid National Police Check
• Valid NDIS Worker Screen Check
